How Do I Insert An Hours Worked Based Accrual Policy?

  1. Click on the main "Admin" tab, and then on the Accrual Policy link located under the Policies section of the screen.
  2. Under the section labeled Create an Accruing (Hours Worked Based) Accrual Policy, click on the [ADD ABSENCE CODE] icon.
  3. Enter a name for the absence code (such as Vacation or Sick).
  4. Select how often the accrued hours should be awarded to the employee record. Make the desired selection from the drop-down menu, and enter the date into the "mm/dd" field, if applicable.
  5. Select whether you want the employee's accrued hours to roll over on the anniversary of their hire date, or on a specified yearly date. If you select a specified yearly date, enter the date that the accruals are to roll over. Rollover settings will be specified in a later step.
  6. Put a check mark in the appropriate boxes if you want hours specified with this absence code to count towards hours based accruals or weekly overtime.
  7. Click on the [ADD LENGTH OF SERVICE MILESTONE] icon.
  8. Enter when the accrual policy should take effect.
    Example:
    An employee must work for the company for 90 days before they are eligible to receive accrued time off. "90" would be entered into the field labeled After, and "day(s)" would be selected from the drop-down menu.
  9. Enter the rate at which the hours should be accrued.
    Example:
    An employee receives 2 hours of accrued time for every 40 hours worked. The setup would look like this: 2 hours/40 hour(s) worked. The estimated hourly total will display (based on 40 hours a week).
  10. Select whether or not accrued time off can be carried over at the end of the year. If yes, select whether or not there is a maximum number of hours that can be carried over. If yes, enter the maximum number of hours.
  11. Select whether or not there is a maximum number of accrual hours that the employee can bank. If yes, enter the maximum number of hours.
  12. Select whether or not the employee can continue accruing time if they have exceeded the specified maximum number of hours.
  13. Click on the [FINISH/SAVE] icon to add the Length of Service Milestone. Multiple milestones can be entered for each accrual policy.
  14. Click on the [FINISH/SAVE] icon to save the accrual policy.
