How Do I Set Up Departments?
- Click on the main Admin navigation tab, and then
on the Department Structure
link located under the Company
section of the screen.
- Each department is listed under the Department Structure header. By
default the main department level is labeled with your company name. If
you have not previously set up departments, your company name is the only displayed department level.
- Each department level has an (add)
link displayed to the right. Click
on the desired link to add a sub-department to the main department level.
- Enter a Name
for the department level as you would like it to appear in the program.
- Select a Parent
Department from the drop-down menu.
Note: Insert a parent department if you wish to make the department
you are creating a sub-department to the parent. For example, a company
has a main department called Dept #1, which is broken down into three
sub-departments. When inserting each of the three sub-departments, Dept
#1 would be selected as the parent department. Each sub-department can
then be broken down into further sub-departments.
- Enter the Department Number that employees
clocking into this department at the time clock will use.
- If you would like to assign a Premium Pay Code to
this department, select the desired code from the Premium
drop-down menu.
Note: The option to assign a policy to the department will only
be available if you have previously set up Premium Pay Codes.
- If you would like to assign this department level
to a Minimum Hours Policy, make the desired selection from the Minimum
Hours drop-down menu.
Note: This option will only be available if you have previously
set up Minimum Hours Policies.
- Click on the [FINISH/SAVE] icon to save your changes.
Copying a Department Structure
If the structure of a department is the same for multiple department
levels, you can copy an existing structure and apply it to a new department
level.
Click
on the main "Admin" tab, and then on the Department
Structure link located under the Company
section of the screen. The
main "Department Structure" screen opens.
From
the tree-directory of your existing department levels, click on the level
that you would like to copy. The
Department Info section of the
screen appears to the right.
Directly
to the right of the Department Info
header is the [COPY] icon. Click
on this icon to copy the department structure. The
Copy Department screen opens.
Enter
a Name for the new department
level. All
sub-departments under the copied department level will be applied to the
department with this name.
If
you would like to change the parent department level that the copied department
is assigned to, make the desired selection from the New
Parent drop-down menu.
The
department levels that will be copied are displayed in the section of
the screen located below the "Name" and "New Parent"
fields.
Click
on the [COPY] icon. The
structure of the selected department is copied and applied to the specified
new department level.
