Creating Customized Security Roles

If the default Security Roles (such as Admin, Supervisor, or Employee user types) do not quite fit your company's needs, you have the ability to create customized user security roles. This allows you to select a custom-made user type from the Security Role drop-down menu when creating users.

Creating a New Security Role

From the main Admin tab, click on the User Security link located under the System Tools section of the screen. Directly to the right of the Security Roles drop-down menu there are two links: Modify Role, and Add Role.
Note:
The program does not allow you to modify the default security roles. You will only be able to edit after you have inserted additional roles into the system. When no modifiable security role is selected, “Add Role” is the only option displayed.

  1. Click on the Add Role link. The "Role Info" screen opens on the right-hand side of the screen.

  2. In the Role Name field, enter the name of this security role as you would like it to be displayed in the program.

  3. If you would like to use an existing security role as a template for this role, select the desired role from the Copy Rights From drop-down menu, and click on the Copy link.

  4. Select whether this role is to have “Advanced” or “Simple” access to the TimeForce system. “Simple” means that the user will only be able to access the Time Cards section of the software, while the “Advanced” setting allows the user to access Time Cards, as well as Reports, Employee, Schedule, and Job Tracking.

  5. Put a check mark in the Require Password Change option if you would like to make it so that users assigned to this role are required to define their own password the first time they log into the system.

  6. In the Password Expiration section of the screen, select how you would like user passwords to be handled. The options are as follows:

    • Password Never Expires: With this field selected the specified user password will never expire.

    • User Cannot Change Password: With this field selected the user is not allowed to change his or her login password.

    • Expire Password Based On: This option allows you to define a number of days after which the password will expire, and the number of days before password expiration that the system will warn the user of the impending expiration of their password. Put a check-mark in the box if you would like the system to “lock” the account of a user who has not changed an expired password. This will prevent the user from logging into the TimeForce system.

  7. Under the Permissions header, put a check mark in the box next to every access rights option that you would like to grant to users of this type. The access rights options on this screen are identical to the available options when creating a Customized Rights user. See Customized Rights User Options for a description of each available permission.

  8. Once you have selected the desired access rights options for users of this type, click on the [ADD ROLE] icon.
    Note:
    You will have to refresh your screen before a newly added security role will appear as an option. Press [F5] on your keyboard to refresh the screen.

Modifying an Existing Security Role

Select the desired role from the Security Role drop-down menu, and click on the Modify Role link. The "Role Info" screen opens on the right hand side of the screen.

Modify the security role as desired and click on the [UPDATE] icon to save your changes.

Note: The default system security roles (such as Admin, Custom, Supervisor, or Employee) are not editable. The system will only allow you to modify custom security roles.
