Reassign Invalid Card Numbers

When employees clock “in” and “out” at the time clock the TimeForce system assigns those punches to the correct employee based on the number of the time card that they are using. In the Employee Profile, the employee must be set up with the same card number as the number on the time card that they are using to punch.

If the system receives punches for a card number that is not assigned to an employee profile, the punches are stored in the TimeForce database. This section of the program allows you to view each unassigned card number and the punches that were received using that number. You can then manually select the employee to whom the punches belong, as well as selecting each individual punch to be assigned, if desired.

  1. Click on the main “Admin” navigation tab located at the top of the screen.

  2. Click on the Time Clock Processing link located under the System Tools section of the screen. The “Time Clock Processing Search” screen opens.

  3. In the paragraph of text located directly under the Time Clock Processing Search header, the words reassign cardnumbers are a link. Click on this link to open the "Unassigned Card Entries” screen.

  4. The drop-down menu labeled Select Card # contains each unassigned card number that has been received from the Time Clock. Select the number that you would like to reassign. Each punch created using this card number is displayed with the punch date and time.

  5. Click on the icon detail view of the unassigned punch. The following information is displayed (when available):

    •  Punch Date/Time

    • User

    • Clock

    • Punch Type

    • Department

    • Job

    • Task

  6. Put a check mark in the box to the right of each punch that you would like to reassign. The [CLEAR] icon at the top of the screen removes the check mark from all displayed punches. Click on the  icon to permanently remove a punch from the TimeForce database.

  7. From the Employee drop-down menu at the top of the screen, select the employee to whom you would like to reassign the selected punches.

  8. Click on the [ASSIGN PUNCHES] icon. The selected punches are reassigned.

  9. Click on the [DELETE] icon to permanently remove an unassigned card number and all punches assigned to that number from the TimeForce database.

  10. Click on the [BACK] icon to return to the main Time Clock Processing screen.
