Monthly Schedule

The arrow icons on either side of the [VIEW SCHEDULE] icon allow you to scroll through schedule dates (these icons are not displayed when the schedule is being viewed in a separate window). The [<] and [>] icons scroll through one month at a time while the [<<] and [>>] icons scroll through a year at a time.

The schedule is displayed as a monthly calendar. The week days are displayed in the header at the top of the screen. Each day in the calendar displays the number of employees who are in the system as absent for that day (based on the absences entered through the Time Card section of the program), the number of employees scheduled to work for that day, and the total number of scheduled daily hours for all employees. Click on the arrow icon located next to the number of absent employees to bring up a detail of the absent employees for that day.  See Schedule Replacement for more information.

Clicking on any day in the calendar brings up a detail of the selected day in the far right-hand section of the screen. Each employee that is scheduled to work is listed with their scheduled start and stop times displayed in the bar located under their name.

The color of the bar defines the status of the employee’s schedule. A blue bar means that the employee is currently scheduled to work. A red bar means that the employee was scheduled to work but will be absent for the shift, and no replacement has been found. A gray bar means that the employee will be absent for the shift, but a replacement has been found. A green bar means that the employee was not originally scheduled to work, but has been called in to cover for an absent employee. See Schedule Replacement for more information.

Clicking on any bar in the table brings up a detail of the employee’s schedule for the day in the lower left-hand corner of the screen.

  • The Start Date field displays the date and time that the employee is scheduled to begin work. Edit these fields as desired. Click on the icon to select the start date from a calendar.

  • The End Date field displays the date and time that the employee is scheduled to be off. Edit these fields as desired. Click on the icon to select the end date from a calendar.

  • The Schedule Rule field displays the rule template that is currently applied to this schedule. Make the desired selection from the drop-down menu. With a Schedule Rule selected, the lower right-hand section of the screen displays the rule details. See Schedule Rules for instructions on setting up and using rules.

  • Click on the [UPDATE] icon to save the changes that you have made. Click on [REPLACE] to schedule a replacement for this schedule.  See Schedule Replacement for more information. Click on [DELETE] to remove this daily schedule from the system.
