Viewing an Employee's Available Comp Time Hours

Comp time hours totals are displayed in the Accruals section of the program. Click on the main Employee navigation tab, and then on the Accruals link. Comp time totals are displayed in the Comp Time Balance section of the screen. The following information is displayed on this screen:

Next Rollover / Expiration Date

The name of this column changes depending on whether the employee's comp time is set to rollover or expire.

  • The Next Rollover Date is the next date on which the employee's comp time totals will be rolled over into a new year or month (depending on their rollover settings).

  • The Next Expiration Date is the next date on which the employee's available comp time hours will expire. Expired hours are paid out directly to the employee's time card.

The date in this field is a link.  Click on the link to edit the employee's comp time settings.

Last Accrued Date

This is the last date on which comp time totals were calculated for this employee. This field is automatically updated when you process the pay period that the employee is assigned to.

Gifted

This field displays the number of comp time hours that have been manually awarded to the employee.  This total is not generated from the employee's time card. Click on the link under the Next Rollover / Expiration Date heading to award gifted hours.

Awarded

This is the number of comp time hours that has been awarded to the employee. This total is calculated from the overtime hours on the employee's time card.  The total in this column does not decrease as the employee's "Available" comp time hours are used.

Banked

This is the total number of unused comp time hours that have been “rolled over” from a previous month or year. Banked hours are not calculated from the employee’s time card, and will be used only when the employee has no "Available" hours.

Used

This is the number of comp time hours that the employee has used since the last comp time rollover or expiration date. Click on the total in this field to view a detail of used comp time hours.

Available

This is the number of comp time hours that the employee has available.  To set up an expiration or rollover date, or to specify a maximum allowed number of hours for this total, click on the date in the Next Rollover / Expiration Date field.

Delete

Click on the  icon to unassign the employee from this comp time policy.
