Creating a "Comp" Absence Code
An absence code must be
created which deducts from the available comp time hours.
Click
on the main Admin navigation tab, and then on the Absence
Codes link located under the Policies
section of the screen. The “Absence Codes” screen opens.
Click
on the [ADD ABSENCE] icon to insert a new absence code.
Enter
a name for this absence code as you would like it to appear in the software.
Select
“Paid” from the drop-down menu asking whether you would like hours specified
with this code to be Paid or Unpaid.
Put
a check mark in the box next to each rule that you would like to apply
to this absence code:
Do
you want hours assigned to this absence code to count towards Hours Worked
Based accruals?
Example: An employee is assigned to an Hours Worked Based
accrual policy which states that she receives 2 hours of Vacation time
for every 80 hours worked. The employee uses 8 hours of comp time. Would
you like the 8 hours of comp time to count as 8 of the 80 hours worked
for the accrual policy?
Do
you want hours assigned to this absence code to count toward Overtime?
Example: An employee is assigned to an overtime policy which
states that he receives time-and-a-half for working over 40 hours in a
week. The employee uses 5 hours of comp time. Do you want the comp time
hours to count as 5 of the 40 weekly hours worked for the overtime policy?
Put
a check mark in the These types of Absence
Codes will deduct from Compensatory Time field. This is specifying
that you would like the hours assigned to this absence code to be deducted
from the employee’s available comp time hours total.
In
the field asking what Accrual you would like this absence code to deduct
from, select “None.”
If
you would like comp time hours to be assigned to a Premium Pay Code, select
the desire code from the drop-down menu.
Click
on the [FINISH/SAVE] icon to add the absence code.
