IQ 1000 Clock Settings

 The "Clocks Setup" screen is divided into two sections. The left-hand side of the screen displays a list of your current active clocks. The right-hand section of the screen shows the detail information of the time clock currently selected in the list.

Inserting a Clock Profile

Before you can upload information from TimeForce to your IQ 1000, you must first create a profile for each clock that you would like to connect to.

Clock Info

  1. To insert a new clock click on the Add Clock link located to the right of the IQ Clocks Setup header. The "Clock Info" screen opens to the right.

  2. Enter a numeric Clock ID.

  3. Select "IQ1000" from the Model drop-down menu.

  4. Enter a Description for the time clock as you would like it to appear in the system.

  5. If you would like to assign the clock to a group, make the desired selection from the Group Name drop-down menu.
    Note:
    Clock groups are created from the Edit Tables section of the program.

  6. Enter the clock Password.  The default password is "IQ1000."

  7. Select the Connection Type from the drop-down menu.  The available options are "Ethernet Clock," "Serial Clock" and "Modem Clock."
    Note:
    The steps to completing the Clock Info section of the setup vary depending upon which connection type you have specified.  Follow the instructions below that correspond to the connection type selected.

Ethernet Clock

  1. Enter the clock IP Address (remember to use periods).

  2. Enter the Port Number.  This is the number of the port that the program uses to bypass a system firewall.  Leave this setting blank to use the default port.
  3. From the Vacation Time drop-down menu select the accrual policy that employee vacation time deducts from.
    Note:
    This setting is optional.

  4. From the Sick Time drop-down menu select the accrual policy that employee sick time deducts from.
    Note:
    This setting is optional.

  5. Put a check-mark in the Upload Schedules box if you would like each individual employee's schedule from TimeForce to be uploaded to the time clock.
    Note:
    In order to use this option, employees must be assigned to a schedule within the TimeForce system. Also, the schedule that the employee is assigned to must be assigned to a Schedule Rule.

  6. Put a check-mark in the Upload Relay Events option if you would like to upload bell or buzzer relay events to the time clock.  With this option selected, the Relay Events section of the screen appears.

  7. Enter any desired Notes about this clock into the available text-entry field. There is a maximum of 250 allowed characters.

Serial Clock

  1. From the Com Port drop-down menu, select the com port that the clock is attached to.  Select "Auto Detect" to have the system automatically determine which port the clock is connected to.

  2. From the Vacation Time drop-down menu select the accrual policy that employee vacation time deducts from.
    Note:
    This setting is optional.

  3. From the Sick Time drop-down menu select the accrual policy that employee sick time deducts from.
    Note:
    This setting is optional.

  4. Put a check-mark in the Upload Schedules box if you would like each individual employee's schedule from TimeForce to be uploaded to the time clock.

Modem Clock

  1. Enter the Phone Number where the clock can be reached.  Remember to include any required area codes and prefixes, and use no dashes.

  2. From the Vacation Time drop-down menu select the accrual policy that employee vacation time deducts from.
    Note:
    This setting is optional.

  3. From the Sick Time drop-down menu select the accrual policy that employee sick time deducts from.
    Note:
    This setting is optional.

  4. Put a check-mark in the Upload Schedules box if you would like each individual employee's schedule from TimeForce to be uploaded to the time clock.
    Note:
    In order to use this option, employees must be assigned to a schedule within the TimeForce system. Also, the schedule that the employee is assigned to must be assigned to a Schedule Rule.

Default Allowed Periods

An employee who is assigned to an allowed period is only able to punch in or out at the time clock during the range of time specified by the period that they are assigned to. All punch attempts are logged, but employees must obtain a supervisor override in order to clock in outside of their assigned period. In these cases, the supervisor ID is downloaded with the punch.
Note:
This option is only used when schedules have not been uploaded to the time clock.

  1. For each day of the week enter the Start and End times of the window of time during which employees will be allowed to punch at the clock. Employees who punch outside of this window will receive a message stating that this punch does not fall within the allowed period, and that a supervisor override is needed to accept the punch.

  2. At this point you must create the clock profile before you are allowed to set up further clock options. Click on the [ADD] icon to add the time clock profile.

Once you have created the time clock profile you are allowed to specify which employees, departments, jobs, and tasks can be accessed at this clock. The following rows are added beneath the Clock Info and Allowed Periods sections of the screen:

Relay Events

This section will only be displayed if you selected the "Upload Relay Events" option under the Clock Info section of the screen.  When using the IQ 1000 with a bell or buzzer, relay events allow you to specify the times at which the bell or buzzer will be activated.

  1. Click on the down arrow icon at the end of the Relay Events header.

  2. To insert a relay event, click on the [ADD] icon.

  3. Under the Time column, enter the time of day at which you would like the bell or buzzer to be activated.

  4. Under the Duration column, enter the number of seconds that you would like the bell or buzzer to be activated for.

  5. Put a check-mark in the box under the Pulse column if you would like the bell or buzzer to ring in a series of pulses.  With this option de-selected, the bell or buzzer will ring continuously for the number of seconds specified in the Duration column.

  6. Put a check mark in the box under each day of the week on which you would like this relay event to occur.

  7. Once you have finished entering relay information, click on the [SAVE] icon to save the relay event.

Multiple relay events can be created.  To delete an existing relay event, click on the icon located to the right of the desired event.

Employees at Clock

The time clock gives you the option of restricting the employees who are allowed to punch in and out. If an employee who is not assigned to this time clock attempts to punch they will receive an error stating that they are not assigned to the clock, and that a supervisor override is required. A supervisor can then enter their clock password and allow the punch, if desired.

By default all employees are allowed to punch at the time clock. Use the following instructions to restrict employees.

  1. Remove the check mark from the Send all employees to the clock option. The "Unassigned Employees" and "Assigned Employees" boxes appear.

  2. All employees appear in the "Unassigned" box by default. Highlight the employees that you would like to be able to punch at this time clock (hold down the [CTRL] key on your keyboard to select multiple employees).

  3. Click on the [>>] icon. The selected employees are moved to the "Assigned Employees" box.

  4. To unassign employees, highlight the desired names in the "Assigned Employees" box and click on the [<<] icon. The selected employees are moved to the "Unassigned Employees" box.

Note: If you leave the "Assigned Employees" box blank, all employees will be allowed to punch at this time clock.

Departments at Clock

This option allows you to define which department levels your employees will be able to punch into and out from at this time clock. If an employee attempts to punch into a department that is not assigned to this clock they will receive an error message stating that supervisor approval is required for this punch. A supervisor can then enter their clock password and accept the punch, if desired.

By default all departments are allowed at the time clock. Use the following instructions to restrict departments.

  1. Remove the check mark from the Send all departments to the clock option. The "Unassigned Departments" and "Assigned Departments" boxes appear.

  2. All departments appear in the "Unassigned" box by default. Highlight the departments that you would like your employees to be able to punch into at this time clock (hold down the [CTRL] key on your keyboard to select multiple departments).

  3. Click on the [>>] icon. The selected departments are moved to the "Assigned Departments" box.

  4. To unassign departments, highlight the desired names in the "Assigned Departments" box and click on the [<<] icon. The selected departments are moved to the "Unassigned Departments" box.

Note: If you leave the "Assigned Departments" box blank, employees will be allowed to punch into all departments at this time clock.

Jobs at Clock

Note: This section will only be available if you are using the Job Tracking module of the TimeForce system.

Use this option to define which Jobs your employees will be allowed to punch into from this time clock. If an employee attempts to punch into a job that is not assigned to this clock, an error message will appear stating that a supervisor override is necessary to complete this punch. A supervisor can then enter their clock password and accept the punch, if desired.

By default all jobs are allowed at the time clock. Use the following instructions to restrict jobs.

  1. Remove the check mark from the Send all Jobs to the clock option. The "Unassigned Jobs" and "Assigned Jobs" boxes appear.

  2. All jobs appear in the "Unassigned" box by default. Highlight the jobs that you would like your employees to be able to punch into at this time clock (hold down the [CTRL] key on your keyboard to select multiple jobs).

  3. Click on the [>>] icon. The selected jobs are moved to the "Assigned Jobs" box.

  4. To unassign jobs, highlight the desired names in the "Assigned Jobs" box and click on the [<<] icon. The selected jobs are moved to the "Unassigned Jobs" box.

Note: If you leave the "Assigned Jobs" box blank, employees will be allowed to punch into all jobs at this time clock.

Tasks at Clock

Note: This section will only be available if you are using the Job Tracking module of the TimeForce system.

Use this option to define which Tasks your employees will be allowed to punch into from this time clock. If an employee attempts to punch into a task that is not assigned to this clock, an error message will appear stating that a supervisor override is necessary to complete this punch. A supervisor can then enter their clock password and accept the punch, if desired.

By default all tasks are allowed at the time clock. Use the following instructions to restrict tasks.

  1. Remove the check mark from the Send all Tasks to the clock option. The "Unassigned Tasks" and "Assigned Tasks" boxes appear.

  2. All tasks appear in the "Unassigned" box by default. Highlight the tasks that you would like your employees to be able to punch into at this time clock (hold down the [CTRL] key on your keyboard to select multiple jobs).

  3. Click on the [>>] icon. The selected tasks are moved to the "Assigned Tasks" box.

  4. To unassign tasks, highlight the desired names in the "Assigned Tasks" box and click on the [<<] icon. The selected tasks are moved to the "Unassigned Tasks" box.

Note: If you leave the "Assigned Tasks" box blank, employees will be allowed to punch into all tasks at this time clock.

 

Once you have finished entering information for this clock profile, click on the [UPDATE] icon located in either the upper or lower right-hand corners of the screen.
