Time Clock Processing
Your punches are automatically
processed into the TimeForce database when you send the punches to the
server using the Time Clock Manager utility. If for some reason, you would
like to un-process the punches that you have downloaded from your time
clock(s), this can be accomplished from the “Time Clock Processing” option
located under the System Tools
section of the main Admin tab.
Note: Data that has been manually inserted into the program
(either by an administrator/supervisor user, or through Employee Self
Service) is also tracked as download "packets."
From the row of tabs that
runs across the top of the screen, click on “Admin,” and then the Time Clock Processing link to open the
page.
Every time clock "packet"
that has been received by the TimeForce system is saved. By
default this screen displays only the last 10 downloaded packets. The
program also allows you to search for a specific date range of downloaded
time clock packets.
Searching for Clock Downloads
Use the following instructions to search for time clock packets that
were received during a specific date range.
In
the Start Date field, enter the
starting date of the desired date range. Click
on the icon to select the date from a calendar.
In
the End Date field, enter the
ending date of the desired date range. Click
on the icon to select the date from a calendar.
Select
how many download packets you would like to view on each page from the
Results per page drop-down menu.
Once
you have entered the desired search data, click on the [SEARCH] icon.
Screen Format
Downloaded packets are
displayed directly under the "Search" header at the top of the
screen. The screen is separated into the following columns:
The
Type column displays the type
of punches that this packet contains. For example, a packet that has been
downloaded from the time clock will display "Punches" in this
column. Mass Absences that have been inserted into the system by an administrator
or supervisor will display "Absences," etc.
The
Employee Name column displays
the name of the employee whose punch data is contained within this punch
packet. A name will only be displayed in this column if the punch packet
contains information for that one employee only.
The
date and time when this punch packet was sent to TimeForce is listed under
the Download Time header.
The
date and time of the first punch
contained within this packet is displayed in the First
Punch column.
The
date and time of the last punch
contained within this packet is displayed in the Last
Punch column.
The
Method column tells you how the
punches contained within the packet were entered. For example, punches
downloaded from a physical time clock will have a method of "Time
Clock." Punches
inserted through the Self Service module of the Time Force system will
have a method of "SS." Punches
entered through a network time clock will have a type of "Net Clock,"
etc.
The
Processed column tells you whether
or not the data contained in this punch packet has been processed into
the TimeForce database.
The
[UNDO] icon allows you to remove the data in the specified punch packet
from the TimeForce database.
- If the number of displayed packets exceeds the number
specified in the Results per page
setting at the top of the screen, additional packets will be displayed
on a separate page. Click
on the page numbers in the Results
Page section of the screen to page through packet data.
"Undoing" a Packet
Once you have deciphered
which download packet contains the data that you would like to remove
from the database, click on the [UNDO] icon located in the far-right column
of the displayed packet information.
When a packet is "undone,"
the punch data is removed from the applicable employees' time cards. However,
the packet itself is retained in the system as "inactive." To
re-process a punch packet, click on the [PROCESS] icon. Click
on the icon to permanently remove the packet from the system.
