Time Cards
When you download your
time clock and send that data to the server using the ClockLink utility,
that data is automatically processed and displayed in the Time Cards section
of the program.
This screen is where the
regular maintenance of your Time & Attendance and Job Tracking data
is performed. From
this screen you can manually insert or delete punches, add absences and
disbursements, and view current hours totals for each job.
To view employees assigned
to a specific department level, click on the Department
drop-down menu at the top of the screen and make the desired selection.
Select
"All Departments" if you do not wish to filter the displayed
employee list by department. Use
the drop-down menu labeled Employee
to select the employee that you would like to view. Click
on the icon to search for an employee by last name, employee
ID, card number, or social security number. Click
on the [<] or [>] icons to scroll to the previous or next employee.
At the top of the screen, directly below the
main program navigation tabs is a row of sub-tabs. Each
of the sub-tab options are as follows:
Time Card:
This option displays the time card information for the selected employee.
Use the
drop-down menu labeled View
(which is located in the column on the left-hand side of the screen) to
select how the data is displayed. You
can view an entire pay period, or select "Weekly" to see one
week's worth of punches at a time.
IMPORTANT: With the View setting set to “Weekly,” the
Pay Period Totals section of the screen displays totals for the range
of days currently shown on the time card only. For example, if an employee
is assigned to a bi-weekly pay period, the “Weekly” setting will display
totals for only one week’s worth of the 2 week pay period. Select
“Bi-Weekly” from the View drop-down menu to view totals for the entire
pay period.
Daily Details:
This option shows the selected employee's punches one day at a time. Use
the arrow icons located on either side of the displayed date to scroll
though calendar days.
Enter Punch:
Click on this option to manually insert Time & Attendance or Job Tracking
punches to the selected employee's time card.
Enter Absence:
Click on this option to manually insert an absence to the selected employee's
time card.
Enter Disbursement:
Use this option to manually insert disbursements to the selected employee's
time card. A
disbursement is any dollar amount added to an employee's time card that
is not calculated from hours worked (such as tips).
